Etsy orders land on your board automatically

4 minute read

Every time you make a sale, Etsy emails you. Broidry can read those emails for you: forward them to your shop's private address and each sale shows up on your board as a paid order, with the buyer's name, the item, the personalization, the ship-by date, and the amount already recorded.

This is a one-time setup in Gmail that takes about five minutes. After that there is nothing to remember and nothing to type — a sale on Etsy simply appears in Broidry, usually within a minute.

Set it up

  1. 1In Broidry, open the Import page — it is not in the sidebar, so use the import link on your Today page or go straight to your dashboard's address with /import on the end. Press "Create my forwarding address" and copy the address it gives you — it is private to your shop.
  2. 2Open the Gmail account Etsy sends your sale emails to. If that mailbox forwards everything on to another one you read, do the setup in the first mailbox, where Etsy's email arrives first. Open the gear menu, choose "See all settings," then the "Forwarding and POP/IMAP" tab. Press "Add a forwarding address," paste your Broidry address, and press Next, then Proceed.
  3. 3Google sends a confirmation to that address, which means it comes to Broidry. Within a few seconds it appears on the Import page card by itself, with a "Confirm it in Gmail" button. Press it (or type the code shown into Gmail's confirmation box). Do this before the next step: Gmail will not forward to an address it has not confirmed, and it will not let you pick one in a filter.
  4. 4Now tell Gmail which emails to forward. In Gmail's search bar, click the sliders icon to open search options, put transaction@etsy.com in the From field, and choose "Create filter." Check "Forward it to," pick your Broidry address, and press "Create filter."
  5. 5Done. Make your next sale and watch it appear on your board, already marked paid. To try it right away, open any past "You made a sale" email from Etsy and forward it to your Broidry address — it is on your board within a minute.

Good to know

Orders arrive marked paid, because the buyer already paid on Etsy. The amount from the email is recorded as an Etsy payment so your money numbers stay truthful.

When Etsy's sale email includes the buyer's email address, Broidry records it on the order so you have it. Broidry still never emails an Etsy buyer itself — Etsy sends their receipt and shipping notices, and you message them through Etsy like you do now. Broidry holds the work side: the board, the production schedule, the checklist, the ship-by date.

You buy the label for an Etsy sale on Etsy, so Broidry never asks you for one. An order marked Etsy stays off the "ships soon, no tracking yet" list on your Today page and in your morning email. If you do buy a label here for an Etsy order, open the order and press "Buy this label in Broidry instead" on its Shipping card.

If the same sale email ever gets delivered twice, Broidry recognizes the order number and will not create a duplicate.

If you sell on Etsy from an email account that is not Gmail, most providers have a similar forward-matching-mail setting. The Broidry side works the same way.

Note: This works alongside the history import above it on the Import page: the import fills in your past, the forwarding keeps your present current.

Why forwarding, and not a Connect button

Etsy decides which apps may connect to a seller's shop directly, and it has not given Broidry that access. So there is no Etsy connection to set up in Broidry, and nothing about one on your Import page. Forwarding is how Etsy sales reach your board, and it does not depend on Etsy's permission: it reads the sale emails Etsy already sends you.

Broidry never emails your Etsy buyers. Etsy sends their receipts, shipping notices, and review asks, exactly as it does today — your board just stays current without you retyping anything.

How you know it's on

Forwarding is not live until Gmail confirms the address, with the button or the code shown on the card. Half-done setup looks exactly like no setup — new sales just don't arrive.

The card on the Import page tells you what the last email to your address became: a new order on your board, a sale that was already there, Google's confirmation, or an email that wasn't from Etsy at all. If it says no email has reached the address, Gmail is not forwarding yet.

Forwarding a sale email yourself is a test of the address, not the setup. It shows up on your board as a real order, and your next Etsy sale still will not arrive until Gmail's filter is on. The card says so when every sale it has seen came from your own mailbox.

Broidry watches for that too. If your board has orders marked Etsy and Gmail has never forwarded a sale on its own, your Today page shows a card saying your Etsy orders don't land here on their own yet, with a link to the Import page to finish the setup.
